At UpHouse, how we support our people matters. This role sits at the center of how we build and manage a high-performing team. As our HR & Office Manager, you will own the operations of our Winnipeg office and play an active role in the day-to-day HR function. This includes managing key parts of the employee lifecycle, supporting and driving recruitment efforts to bring in top talent, strengthening internal talent development, and leading the day-to-day operations of the office to ensure it runs smoothly. You’ll be a central role in creating a well-organized, functional, and welcoming environment that supports how our team works. This is an in-office role based in Winnipeg.

Responsibilities

Talent Recruitment

  • Lead recruitment end-to-end: job postings, sourcing, screening, interviews, and offers
  • Build and maintain strong pipelines across key roles
  • Ensure high-quality candidate experience
  • Partner with leadership to identify hiring needs tied to growth
  • Grow and maintain our Freelancer talent database

Internal Talent Development

  • Own the employee lifecycle from onboarding to offboarding
  • Support performance management, reviews, and development plans
  • Coordinate and evolve training, coaching, and mentorship programs
  • Work with department leaders to define progression pathways and role development

Employee Relations & HR Leadership

  • Act as a first point of contact for employee questions and concerns
  • Assist with and support difficult conversations, including performance issues and exits
  • Maintain HR policies and ensure compliance with MB employment standards
  • Own employee documentation, payroll coordination, benefits, and time-off tracking
  • Support a high-accountability, supportive culture
  • Improve structure, workflows, and role clarity
  • Support DEI, B Corp and Safer Space commitments in daily practice

Operations & Office Management

  • Act as the primary point of contact for office-related needs and issues, ensuring quick resolution
  • Oversee day-to-day office operations, including daily tasks to ensure a smooth, organized and well-maintained environment
  • Manage select overhead budgets and operational planning
  • Lead, plan and execute initiatives that bring the team together, including skill development, volunteering, and celebrating team wins

Experience

  • 4+ years in HR, People Ops, or similar
  • Post-secondary education in HR or a related field
  • Experience in fast-paced, service-based environments is a requirement
  • Strong recruitment and talent development experience
  • Confident navigating employee relations
  • Strong organizational and systems-thinking skills
  • Ability to manage confidentiality with discretion

Establish Understanding and Clarity: across hiring and people operations, build a deep understanding of the team, current people challenges, and hiring needs, and quickly take ownership of recruitment and core HR processes by bringing structure, consistency, and clear communication to how work gets done.

Drive Recruitment, HR, and Office Operations: independently run full-cycle recruitment, manage day-to-day HR responsibilities, and oversee office operations with a high level of organization and follow-through, ensuring work is completed accurately, on time, and without the need for escalation.

Ensure a High-Functioning and Well-Run Office Environment: Own and operate the day-to-day office environment with consistency and attention to detail, ensuring the space is organized, fully functional, and supports team productivity, including managing supplies, vendor relationships, and in-office experience, while proactively identifying and resolving issues before they impact the team.

As a Senior Marketing Coordinator, you will play a pivotal role in supporting the client management team to develop, strategize and execute marketing campaigns and projects.   • Own the day-to-day administrative execution of projects, including organizing files, maintaining documentation, proofing and keeping internal systems up to date
  • Lead or support in managing client relationships and planning, acting as a key point of contact for communications, scheduling, follow-ups, and overall client satisfaction
  • Act as a key liaison between clients and internal teams, ensuring client satisfaction and successful project delivery
  • Coordinate with designers, digital strategists and copywriters to deliver cohesive and impactful projects, including supporting production workflows, asset development, and revisions
  • Coordinate with external vendors as needed (e.g. printers, delivery partners, freelancers)
  • Establish and maintain budgets across a variety of different projects

Performance Goals for Senior Marketing Coordinator

Lead Successful Projects: Take ownership of managing the day-to-day operations and execution of medium to large sized marketing projects, ensuring seamless delivery on time, within scope and under budget. Ensure that all projects align with client objectives and elevate the brand experience.

Enhance Client Relationships: Build and maintain strong, trusting relationships with clients by acting as their key liaison, addressing their needs and providing strategic insights to improve campaign outcomes. Regularly communicate project progress, gather feedback and offer solutions to enhance client satisfaction.

Support Strategic Marketing Insights: Support the development of marketing strategies and campaign production by working closely with clients to understand their needs, offering data-driven insights and presenting new ideas that help clients achieve their goals and maximize their engagement.

Ensure Process Efficiency: Oversee and optimize project workflows across teams to ensure work moves efficiently, timelines are met, and internal resources and tools are used effectively, while upholding strong proofing standards so all work is reviewed for accuracy, clarity, and brand alignment before delivery, reducing errors, rework, and last-minute changes through structured and proactive processes.

Experience

  • 3-5 years of experience in marketing, project management or a related field
  • Post-secondary education in marketing, communications or a related field
  • Strong understanding of marketing strategies, client management and campaign execution
  • Proven experience managing multiple marketing projects with tight deadlines
  • Excellent communication, active listening and client management skills, with an ability to build long-term relationships
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively and work in a high-demand, fast-paced environment
